2021 Annual General Meeting announcement

To our Oakville Little League Membership,

The organization’s Annual General Meeting is scheduled for Tuesday, November 30, 2021 at 7:00 p.m.

The board has decided to conduct the AGM this year virtually, using the Zoom platform. Details on how to access the event will be sent a few days in advance.

The AGM is open to all adult Regular Members of Oakville Little League who had players registered during the 2021 playing season or are registered for the 2022 playing season. It is held to inform members of previous and future activities within the League and to review fiscal details for the past year.

It also provides the membership with an opportunity to ask questions of the board regarding the League.

Below you will find the definition of our two types of membership.

  1. Player Members – Any player candidate meeting the requirements of Little League Regulation IV shall be eligible to participate in Little League Baseball.  Player Members shall have no rights, duties, or obligations in the management or in the property of the League with the exception of those players who have reached the legal age of majority, in which case they will be classified as a Regular Member of the League.
  2. Regular Members – Any person who has reached the legal age of majority and is actively engaged in the operation of the League within that given year or is the parent(s) and or legal guardian(s) of a Player Member within that given year or the subsequent year will be deemed to be a Regular Member. All Board Members, Executive Members, Committee Members, Coaches and Volunteers who have reached the legal age of majority must be active Regular Members in good standing. Only Regular Members in good standing are eligible to vote at General Membership meetings.

Elections for President and two (2) Directors-at-Large:

The President’s position, currently held by John Sweeney, and two Director at Large positions, currently held by Aldon Johnson (Director-at-Large #1) & Denis Boivin (Director-at-Large # 3), are up for election this year.

The Board of Directors will accept nominations up to 14 days prior to the AGM. These positions have a two-year term and take effect immediately following the AGM.

To be elected as a member of the Board of Directors, a candidate must be a Regular Member of the League in good standing. They must also have served a full one-year term as an Executive Committee Member unless in extenuating circumstances.

Every nomination must state the name of the nominee, their telephone number and the position in which they are being nominated.

In the event some Board positions go unfilled, the President has the right to appoint people to fill those vacant positions.

Nominations for Executive Committee Members Positions:

The league has the following Executive Committee positions available to anyone within our membership who would like to get involved. These positions have one-year terms.

Detailed job descriptions for these positions can be found in our Constitution and By-Law document, which can be found on our website.

The Board of Directors will accept nominations for the upcoming year’s Executive Committee up to 14 days prior to the AGM.
